Encore would love to help you plan your special event.

PLANNING YOUR SPECIAL EVENT:

First, contact Encore to reserve your date. We are happy to work with you by tentatively reserving one or more dates on our calendar for a short time while you finalize other arrangements.

Next, you will need to determine the location for your event. If you have not already decided on the location, we can make suggestions. We even have facilities at our location that can be used.

When you have determined the expected number of guests and your budget, it is time to review the menu listings we have made available here. At Encore, we like to devise a specific menu for your event, considering your preferences, your guests and your budget. We present here listings of food items and a variety of recent menus which should act as a starting point for planning your menu. Please do not feel confined or limited in any way by the choices listed. As a full-service caterer, we cater to your needs and wishes. Although the prices listed are subject to change, as the cost of ingredients can change, the price will be confirmed when your menu is set. Please contact us to help decide your menu and the level of service you will desire. As full-service caterers, we are flexible. Depending on your budget and your preferences, we can do it all, or just prepare the food…or something in between.

After you have decided on your menu and level of service, you can expect a letter of confirmation from Encore. We will ask that you give us your guaranteed number of guests 48 hours before the event is to take place. Billing will be based on the larger of the guaranteed number or actual number of guests.

LEVEL OF SERVICE:


Reception at Spirit Events
If you choose our Full Encore Performance you will need to do little or nothing more than send the invitations and bow to the applause of your guests. We will prepare the room (or your home) for the party, bring and serve the food and beverage, and clean up afterwards. We can provide or arrange for decorations, floral arrangements, entertainment, china, silver, linen, tables and chairs… and more. We are full-service caterers and love to be "at your service."

If you, or your budget, would prefer a Performance directed by Encore, we will bring all your food and beverage and set things up in the space you have prepared. We can then offer servers and/or bartenders, and take our equipment away at the end of the performance. We, of course, leave the location as we found it, but you will be more involved as the host or hostess.

If you like to entertain but don't have time to prepare the food, or if your budget is tight, you might choose a Production by Encore. We can prepare all or part of the food for your event for delivery or pick-up. This is your most economical choice, and, as always, we cater to your wishes.

Prices listed on menus are for the food you will serve to your guests. It is likely that you will require additional service to complete your event. A description of those services and the related cost follows.

Taxes: For all food and beverage items, city meal tax is 6.5% and state sales tax is 5%. The state sales tax alone applies to service charge and rental charges. No tax is added for the delivery charge. If your organization is exempt from state sales tax, we must receive a copy of your ST10 form no later than 48 hours prior to your event.

Delivery charge: Covers the cost of delivering your food and beverage order to an event location and setting up the items on the designated food and beverage tables. The delivery driver will return, at an agreed-upon time, and retrieve any equipment that was left for your event. The charge is based on the distance and time required.

Service charge: Covers the staffing of your event with servers, bartenders and kitchen personnel. The staff would arrive at the event location and dress the tables with linen, place the table settings and arrange the food tables. During the event, they provide service to your guests for the meal. After the event is concluded, they clean up the area. This means they clear the tables of all china, glassware, silverware and linens. Our standard service charge does not include breakdown of tables and chairs or cleaning the floors. This type of service is available with prior arrangement, at additional charge.

Reception at Spirit Events

China, Glassware, Silverware and Table Linens: Encore provides either serving or delivery containers for your food. The prices listed do not include special serving dishes or individual china, glassware or linens for your guests. For events that take place in our banquet rooms, a charge of $1.00 per person is added to the menu price to cover the cost of using and maintaining the items. For events that take place in other locations you may choose to use disposable products for your event, the cost of which will generally add $0.50 - $1.00 per person to the menu price.

Rental charge: Covers the cost if you need china, glassware, silverware and table linens for your event. This charge will be the actual cost of your items as billed to Encore by the local rental companies. Prior to your event, you will be provided a complete listing of the rental items required for your event. You will choose from many options about the rental items for your event. There is no additional charge for setting your arrangements with the local rental companies.

Billing and payment: Once the menu has been established for your event, a quote for rental, service or delivery will be provided to you. If you have any questions concerning the additional costs for your event, please do not hesitate to ask and we will be happy to assist you with your questions.

To hold the date of your special event on our calendar, we will ask that you make a deposit of $100. This deposit will be refundable until 30 days before the event. At the time of booking, we will also need to know the estimated number of guests. We will then ask that 50% of the estimated total cost be paid 30 days prior to the date of the event. Unless other arrangements have been made in advance, we will expect full payment at the completion of the event. Encore accepts payment by cash, check, MasterCard, Visa and American Express.
